KISS Your Way to Consistent Improvements at Your Apartment Community + A Free Download

The new year is coming up and if you’re anything like me, it has you looking back at the year and reflecting on what went well and what went…not so well. When you’re in that state of reflection, don’t let it pass without taking the time to use that information to your advantage.

At Sprout, we use the KISS method to reflect on things we’ve done to see how we can improve the next time around. We love this method because it doesn’t take long to complete and once it’s implemented, you’re able to see real, positive changes.

What does KISS mean? It’s probably not what you think. Here is what the acronym stands for:

K: What do I want to KEEP doing?

I: What do I want to IMPROVE upon?

S: What do I want to STOP doing?

S: What do I want to START doing?

KISS is clever and easy to remember. We wish we could take full credit for this one, but this method is courtesy of the brilliant Michael Hyatt. (Check him out here if you want to learn more!)

You can use this method daily, weekly, monthly or to break down an entire year. Seriously, it’s so quick but oh so beneficial. Check out an example:

After you fulfilled a maintenance request for a resident:

After you complete the request you would sit down with the maintenance team and discuss how it went completing the request from start to finish. Here’s what you might have realized through the K.I.S.S method:

Keep calling residents afterwards to make sure they are happy after a request.

Improve in communication with the resident about when the request will be filled or regarding any delays.

Stop having to come back two or three times for the same request because of missed details.

Start asking your office team to write more detailed notes on requests and ask your maintenance teams to leave behind a goodie for the resident after the request is filled.

Now let’s take a peek at a yearly K.I.s.s. Review:

We’re quickly winding down the year and you’re probably already looking to next year’s to-do list. Before you jump in there completely, have a team meeting and discuss how things went. You could have an overarching KISS for your community as a whole, or you could break it down and have a KISS method for different areas of operations - tours, resident events, maintenance, outreach marketing, getting notices to residents, dealing with complaints, etc.

  • Set a date on the calendar for a KISS team meeting.

  • Assign a notetaker to capture all the ideas.

  • Then ask:

    • What do we want to KEEP doing, IMPROVE upon, STOP doing, START doing?

  • Set a second meeting to outline exactly how, when and who will be responsible for each item.

What matters is that you take the time to sit down and reflect, and then take that information to improve yourself, your team, and your community and be ready to absolutely kick butt this next year.
